AO "Gedeon Richter" is a subsidiary of international corporation Gedeon Richter Ltd, the biggest pharmaceutical company in Central and East Europe.

Tasks and Purpose

For several years, Gedeon Richter employees had been working in the PayDox system. However the solution could not provide the required level of automation and scaling anymore. In 2016, Gedeon Richter decided to implement a new digital system. Choosing between different options, the management finally opted for the Axirum document management system.

Within the first project stages, the company digitalized work of records managers. In 2018, the project got a second wind, as the new purpose was defined: to automate work time tracking.

Gedeon Richter has many various shifts. Day-to-day routine of tracking working hours and preparing reports were too labor consuming. That is why the project team had to complete the following tasks:

  1. Automate check of the data from the access control and management system (actual work periods) and ERP system (shifts).
  2. Develop a system that would notify managers about deviations from a work plan.
  3. Accelerate generation of the data on work time balance of employees working on flextime.
  4. Automate approval of absence requests.
  5. Introduce digital timesheets.

Solution

Today, Gedeon Richter employs more than 500 specialists working on 6 different shifts. The Axirum-based solution is designed for each employee category:

  • Employees track their workload right in the system.
  • Managers check employees work time.
  • Timetable clerks get notifications about all scheduled and unscheduled employee absences.

Axirum facilitates cooperation between Gedeon Richter employees. All scheduled absences such as business trips, medical leaves, and vacations automatically flow into Axirum right from the ERP system. The reason for absence must be specified either by an absentee or by his or her direct manager. Finally, a timetable clerk receives an assignment to exclude the absence period from the timesheet.

Within the implementation project, the company has also automated security workplace. If an employee has forgotten his or her identity card, a security officer creates a corresponding record right in Axirum instead of paper log. If the record has not been created, the system requests the employee to specify the reason for absence. The same script is used to detect late arrivals, early leaves, and absence during work time.

Project Results

Now 330 employees of Gedeon Richter, including department managers and top managers, use Axirum in their daily work. Management of documents and contractors are digitalized. Automated work time tracking reduces labor cost significantly:
